Travel plan settings
These settings apply to every travel plan at your school.
Who can use this page: Travel Request Manager or Global Administrator.

| Maximum Lead Time (days) | How many days ahead a travel plan can be submitted, at most. |
| Minimum Lead Time (days) | How many days ahead a travel plan must be submitted, at least. |
| Requires Approval | Whether travel plans must be approved before they work. |
| Match On | Country: travellers can sign in only from the countries in their plan. Continent: travellers can sign in from any country on the same continent as a country in their plan. Blocked countries are always blocked. |
| Buffer Time Start (hours) | How many hours before the trip starts the travel exception begins. Up to 72 hours. Useful for time zones and early flights. |
| Buffer Time End (hours) | How many hours after the trip ends the travel exception keeps working. Up to 72 hours. |
| Add User to Synced Groups in IDP | Also add travellers to groups that are synced from Microsoft Entra, by changing the group in Microsoft Entra. See below. |
Groups
Choose groups that travellers should be added to while their trip is happening. They are removed again when the trip ends, when they are taken off the plan, or when the plan is deleted or un-approved.
- Users who were already in the group before the trip are never removed.
- A user who still needs the group for another current trip stays in it.
- AuthCop groups are changed straight away (at the next hourly run).
- Synced Microsoft Entra groups are only changed when Add User to Synced Groups in IDP is on.
To change synced groups in Microsoft Entra, your AuthCop admin application in Entra needs the Microsoft Graph permission GroupMember.ReadWrite.All with admin consent. Without it, AuthCop still updates its own groups, and the Entra changes are tried again each hour. Failures are shown in the Audit Logs.
Save your changes
Select Save. A message confirms the settings were updated.
How this affects sign-in: changes to Buffer Time and Match On are applied to current travellers straight away, in the background.
