User details
Open a user from the Users page to see everything about them. The page is split into tabs. Some tabs only appear for students, or when a feature is turned on for your school.

| Tab | Shown when |

| Sign-in Logs | MFA is turned on for your school |
Details
Shows the user's name, username, email address and External ID. Students also show their House, Home Group, Campus and Year Level.
Most details come from Microsoft Entra or your import, so you can't change them here. The one thing you can change is the alternate email address.
Alternate email address
This is the student's personal email address. AuthCop sends a one-time code to this address when the student uses the Email One-Time Passcode sign-in method.
To change it:
- Select Update alternate email address.
- Type the new address. To remove it, leave the box empty.
- Select Save.
How this affects sign-in: the student can use the Email One-Time Passcode method straight away with the new address. If you remove the address, and the email method is set to ask for one, the student will be asked to add an address at their next sign-in. See Email One-Time Passcode settings.
Identity provider details
Shows the IDs that link this user to their Microsoft Entra account, and whether the user is Active. You don't normally need these, but AuthCop support may ask for them.
Groups
Lists every group the user is in.
- Add Group: select Add Group, choose one or more groups, and confirm.
- Remove from a group: select the X next to the group, then confirm.
You can only add users to, or remove them from, groups made in AuthCop. Membership of synced groups is managed in Microsoft Entra.
How this affects sign-in: groups decide which access policies apply to the user. Adding someone to a Student Group also makes them a student.
MFA Methods
Lists the sign-in methods set up for this user, such as QR codes and authenticator apps.
Who can change this tab: MFA Manager, MFA Policy Manager or Global Administrator.
| Column | Meaning |
|---|---|
| Id | The method's ID. Use it to tell two QR codes apart. It matches the Key Id shown when you generate QR codes. |
| Type | The kind of method, such as QR Code or TOTP. |
| Created | When it was made. |
| Starts | The first day it can be used. Blank means straight away. |
| Expires | The last day it can be used. |
Add a QR code or authenticator app for one student
- Select Add MFA Method.
- Choose the MFA Method, for example QR Code or TOTP. Only methods that are turned on, and that need setting up for each student, are listed.
- Optional: choose Starts From (Not Before) if the code shouldn't work until a later date.
- Choose how long it lasts in Until: 6, 12, 18 or 24 months, or Custom to pick a date.
- Select Assign.
What happens next depends on the method:
- QR Code: download the QR code as an SVG image or text file, or select Generate QR Code PDF to print a card.
- TOTP: a QR code appears. The student scans it with an authenticator app, such as Microsoft Authenticator, to add their account. You can also select Download TOTP Code SVG File to save the same QR code as an image, or Download TOTP Code Text File to save the secret key, which can be typed into an authenticator app instead of scanning.
You can only see or download a new QR code or TOTP code once. AuthCop doesn't show it again. If it is lost, remove it and make a new one. Treat downloaded files like passwords.
To create QR codes for a whole group at once, use Generate QR Codes instead.
Remove a method
Select the X next to the method, then confirm.
How this affects sign-in: once removed, the student can no longer use that QR code or app. Remove a method straight away if a card is lost or stolen. Making a new QR code does not cancel older ones, so remove the old one yourself.
Teacher Requests
Lists this student's requests for a teacher to approve their sign-in. Select Refresh Request List to check for new ones. Select a request to see its details or respond. See Teacher MFA requests.
Classes
Lists the classes the student is in. Classes come from your import. Select a class to open it.
Caregivers
Caregivers are still being built and may not be turned on for your school.
Lists the parents or caregivers linked to this student.
- Turn on Show inactive to include caregivers who are no longer active.
- Add Caregivers: choose one or more caregivers to link to the student.
- Remove: select the X next to a caregiver, then confirm.
See Caregivers.
Travel Plans
Lists the student's travel plans for the dates shown. Change the dates with the date picker. Select Add Travel Plan to create a plan for this student. See Travel plans.
Sign-in Logs
Lists this user's sign-ins for the chosen dates (up to 31 days). Select View to see the full details of a sign-in. See Sign-in Logs for what each column means.
