Groups
Groups are sets of users. You use them all over AuthCop, for example to choose who an access policy applies to, or to generate QR codes for a whole year level.
Who can use this page: User Manager or Global Administrator.

Two kinds of groups

Find a group
Type into the search box to find a group by name. Select a group to open it.
Create a group
- Select Create Group.
- Enter a Name and, if you like, a Description.
- Turn on Student Group if the group is for students (see below).
- Select Save.
- Open the Members tab and select Add Member to add users.
Edit or delete a group
- Open the group and select Edit Group.
- Change the details, then select Save. Or select Delete Group and confirm.
You can only edit or delete AuthCop groups.
Before deleting a group, check whether it is used in any access policies, enrolment policies or travel plan settings. Removing it can change who those rules apply to.
Add or remove members
Open the group and go to the Members tab.
- Add: select Add Member, choose one or more users, and confirm.
- Remove: select the X next to a member, then confirm.
Members of synced groups are managed in Microsoft Entra, so these buttons don't appear for them.
Student groups
Turn on Student Group for every group that contains students. A user who is in at least one student group is treated as a student everywhere in AuthCop.
For synced groups you can change this setting at any time. It saves straight away.
What being a student changes:
- The user shows a Student badge.
- Their user page gets the Teacher Requests, Classes and Caregivers tabs.
- Caregivers can only be linked to students.
The Student Group setting is only shown if your school is set up as an education (school) organisation.
How groups affect sign-in
Groups on their own don't change anything. They matter because other pages use them:
- Access policies use groups to decide who a policy applies to.
- Generate QR Codes creates codes for everyone in the groups you choose.
- Travel plan settings can add travellers to groups while they are away.
When you change a group's members, access policies use the new membership at the student's next sign-in (after a short delay).
